Introduction to the Project System

Lapwing Media is an international advertising, branding, design, content production, marketing, and business growth agency. Clients from around the world can submit projects through the platform. The AI system estimates an initial project cost, then a Lapwing Media expert reviews and approves the final price. After approval, the opportunity is sent to qualified freelancers through email, Telegram, and app notifications.

Client Project Submission Rules

Clients must provide accurate, real, and complete information when submitting a project. Required information may include client or company name, email, Telegram ID or link, country, project type, project title, full project description, project goal, preferred style, what the client wants, what the client does not want, estimated budget, deadline, reference files, brand files, and preferred design software.

Project Pricing Rules

The initial project price is estimated by AI. Pricing is based on project type, complexity, deadline, confidentiality level, required software, number of deliverables, number of revisions, required expertise, commercial usage, copyright ownership option, urgency, number of freelancers needed, and project management level. The AI estimate is not final. Final pricing must be reviewed and approved by a Lapwing Media expert, usually within 24 hours.

Public, Private, and Confidential Project Rules

Public Project: Visible to a larger group of relevant freelancers and usually faster and more economical. Private Project: Visible only to selected, verified, and relevant freelancers. Private projects usually cost 80% to 150% more because of stronger privacy protection and more dedicated management. Confidential Project: Client identity, company information, and sensitive details are hidden. Only essential project information is shown to approved freelancers.

Client Information Confidentiality Rules

Clients may choose whether their name and information are public, hidden, or partially visible. Freelancers may not disclose client information, files, briefs, chats, business information, or project details outside the platform. Private or confidential projects may not be used publicly unless permission is granted.

Freelancer Registration Rules

Freelancers must register on the website to receive project opportunities. Required information includes full name, email, Telegram ID or link, country, time zone, portfolio link, portfolio uploads, skills, job category, software expertise, years of experience, languages, availability, wallet address for receiving payments, and preferred notification methods.

Freelancer Notification Methods

Freelancers may receive project opportunities through email, Telegram, and app notifications. Freelancers must enable app notifications to receive project opportunities faster. Telegram must not be used as the sole communication method for project discussions.

Freelancer Categories

Categories include graphic designer, brand designer, logo designer, restaurant menu designer, packaging designer, photographer, videographer, video editor, motion designer, UI/UX designer, social media manager, marketing specialist, copywriter, art director, creative director, brand strategist, and content creator.

Freelancer Verification System

Freelancers can be classified as New Freelancer, Verified Freelancer, Professional Freelancer, and Agency-Approved Expert. Verification is based on portfolio quality, skill tests, previous project performance, communication quality, on-time delivery, client satisfaction, originality, and compliance with platform rules. Only verified freelancers can access private, confidential, or high-value projects.

Project Distribution to Freelancers

After approval, the system matches projects with freelancers based on project category, skills, software experience, verification level, portfolio quality, availability, language, time zone, confidentiality level, and previous performance. Opportunities are sent by email, Telegram, and app notification.

Design Contest Participation Rules

Freelancers must carefully read the project brief and only participate in projects they can complete professionally. For restaurant menu design projects, the designer must use the software selected by the client, such as Adobe InDesign, Canva, Adobe Illustrator, Adobe Photoshop, or another professional tool approved by the client or Lapwing Media.

Submitted File Rules

Final files must be editable. Locked, encrypted, password-protected, flattened, or non-editable files are not accepted unless the project type specifically allows it. Files must not contain malware, harmful links, hidden watermarks, or unauthorized restrictions.

Artificial Intelligence Usage Rules

Limited use of AI as a support tool is allowed. Freelancers may not create the entire project from start to finish using AI only. Human creativity, ideation, design quality, and professional execution are required. If excessive AI usage is detected, especially more than 50%, Lapwing Media may reject the submission. The final decision belongs to Lapwing Media.

Originality and Anti-Copying Rules

Freelancers must submit original and exclusive work. Copied work is prohibited. Using templates without proper rights is prohibited. Using copyrighted photos, fonts, icons, designs, logos, or other assets without permission is prohibited. Serious violations may lead to rejection, suspension, or permanent removal.

Ownership and Copyright Rules

By submitting work through Lapwing Media, the freelancer agrees that Lapwing Media has the right to review, use, display, publish, edit, deliver to the client, and use the work for marketing, portfolio, social media, advertising, and commercial purposes. The freelancer may not resell, reuse, or publish the submitted work without written permission from Lapwing Media. Clients receive usage rights based on the selected package. Full unlimited copyright ownership may be purchased separately by paying the copyright ownership fee.

Client Responsibility Rules

Clients must provide clear, complete, and accurate instructions. Clients must explain what they want and what they do not want. Clients must provide all required brand files, texts, images, prices, contact information, and project details before the project begins. For restaurant menu design, the client is responsible for accuracy of prices, item names, descriptions, address, contact details, and legal business information.

Revision Rules

Clients may request up to two rounds of revisions. Revisions must relate to details of the design, not a complete change of concept or direction. A new concept, new content, or work outside the original brief may require additional payment. Revision requests must be submitted within 24 hours after receiving the design.

Client and Freelancer Communication Rules

All communication between client and freelancer must happen inside the Lapwing Media platform. Clients may not ask for freelancers' personal information. Freelancers may not ask for direct client contact information. Clients may not ask about freelancer wage rates. Freelancers may not request direct payment from clients. Direct cooperation outside Lapwing Media is prohibited. Insults, threats, pressure, discrimination, spam, and unprofessional behavior are prohibited.

Payment Rules

Project payment must be completed before the design process begins unless Lapwing Media approves another arrangement. Lapwing Media may accept international and cryptocurrency payments. Supported cryptocurrency options may include USDT TRC20, TRX, and BTC. Before crypto payment, the client must register their wallet address. After that, the official Lapwing Media wallet address is shown. Clients must use the correct network and send the exact amount.

Project Cancellation and Refund Rules

If the client cancels before the design process begins, a refund request may be reviewed. If the design process has started, the project fee is usually non-refundable. Refunds are reviewed only in special cases and remain subject to the final decision of Lapwing Media. If the client changes the project direction after work begins, additional fees may apply.

Quality Control Rules

Lapwing Media may review every submission before delivery. Quality review includes originality, plagiarism, design quality, compliance with the brief, file editability, correct software usage, copyright safety, AI usage level, technical file quality, and suitability for commercial use. Statuses include Submitted, Under Review, Approved, Revision Required, Rejected, and Delivered.

Dispute Resolution Rules

If a dispute arises, Lapwing Media reviews the project brief, submitted files, chat history, timeline, revision requests, and final file quality. Lapwing Media has the right to make the final platform decision. False claims, threats, abuse, or unprofessional behavior may result in account restrictions.

Consultation Rules

Clients may request professional consultation before starting a project. Consultation fees are not fixed and are based on project type, complexity, session length, expert level, commercial value, confidentiality level, analysis depth, and consulting scope. Consultation fees may range from $1,000 to $50,000. For large, international, confidential, or high-value projects, consultation with the agency manager or senior Lapwing Media team may be available. Payment for consultation does not automatically start the main project.

Account Suspension or Removal Rules

Lapwing Media may restrict, suspend, or remove client or freelancer accounts for rule violations including false information, copying, unauthorized copyrighted material use, abusive behavior, attempts to cooperate outside the platform, direct payment requests, disclosure of confidential information, harmful file uploads, repeated violations, or abuse of payment/dispute systems.

Portfolio Usage Rules

Lapwing Media may use approved works in portfolio, advertising, social media, case studies, presentations, and service promotion. For confidential projects, public use is only allowed with client permission or according to agreed conditions. If the client purchases full copyright ownership, usage conditions must follow the contract or selected package.

Large and International Project Rules

Large and international projects in Lapwing Media are projects whose value generally ranges from $500,000 to $10,000,000. These projects may include international advertising campaigns, large-scale branding, major rebranding, multi-country campaigns, confidential projects, campaigns for global brands, large content production programs, outdoor advertising, special projects, and enterprise-level collaborations. Lapwing Media may require exclusive consultation, separate formal agreements, legal and commercial review, dedicated execution teams, senior project management, advanced confidentiality, non-disclosure agreements, multi-stage approvals, milestone payments, phased delivery, regular progress reports, strategy sessions, market and competitor analysis, brand risk review, and international campaign planning. Acceptance is not automatic and requires internal review, final agreement, first approved payment stage, and final approval from Lapwing Media. Projects only start after full payment is received and manually confirmed by admin.

Large, International, and Worldwide Critical Project Rules

Large, international, country-level, holding-level, global crisis, and worldwide critical reputation projects may range up to $2,000,000,000 depending on scope, risk, confidentiality, markets, execution complexity, campaign scale, public sensitivity, legal/commercial requirements, and required management involvement. Normal large international projects may still fall within the $500,000 to $10,000,000 range where applicable. Worldwide Critical Projects are a separate category for rare, high-value programs — not standard engagements. These projects require internal review, private consultation, staged approval, clear contract terms, legal/professional review when necessary, and final approval from Lapwing Media management. Projects only start after full payment is received and manually confirmed by admin.

Communications and Notifications Rules

Official communication methods are email, Telegram, and app notifications. Users must provide correct contact information. Freelancers should enable app notifications to receive opportunities faster. Lapwing Media may use Telegram for important notices, project alerts, account verification, reminders, and project follow-up. All work discussions, files, and final decisions must be recorded inside the Lapwing Media platform.

Legal Consultation for Contracts Over $10,000

Before signing any agreement or making any payment to Lapwing Media for projects valued over $10,000, clients are strongly encouraged to consult with their own lawyer or qualified legal advisor. Lapwing Media contracts are designed to be transparent, professional, and international. They should follow reasonable commercial principles, globally accepted business standards, and applicable laws. All contract terms should be clear, fair, understandable, and enforceable for all parties. No contract term should conflict with the lawful, commercial, or professional interests of Lapwing Media. Official cooperation may begin only after the contract terms are reviewed, agreed upon, approved, and the required payment or first payment stage is completed.

Legal Disclaimer

These Platform Rules & Policies govern operational conduct on the Lapwing Media platform. All parties are advised to seek independent legal counsel before entering into contracts valued over $10,000. Lapwing Media reserves the right to update these rules at any time.
